Purchases: see the e-invoices your suppliers sent you
Last reviewed: 2026-10-23
Scope: What the Purchases module is for and what you need before using it, the statuses you will see, opening a purchase e-invoice, requesting a rejection within 72 hours, exporting, what you cannot do, and troubleshooting.
Purchases shows the e-invoices your suppliers have submitted to LHDN with your company as the buyer. JomeInvoice downloads them from MyInvois so you can see what you have been billed, check the details, export them to your accounting system, and ask a supplier to withdraw an e-invoice you do not accept.
You do not create anything in Purchases. Every document there was issued by a supplier. If you need to issue an e-invoice on a supplier's behalf, that is a self-billed e-invoice: see When to use self-billed (vs sales).
Before you start
- Your subscription includes Purchases. Availability depends on your subscription. If you do not see Purchases in the left menu, contact JomeInvoice.
- The Purchase Module ERP Secret is set. JomeInvoice fetches your purchase e-invoices with your own ERP system credentials as registered on the MyInvois portal, entered in Settings → Workspace Settings → API Keys & Webhooks, in the API Credential section. Note its Expiry Date and renew the credentials on the MyInvois portal before then. See Organisation, Main HQ and branches.
- Your role includes the Purchase rows. View lets you open the pages, Export adds the export options, and Edit lets you request a rejection. See User roles and permissions.
What you will find in Purchases
In the left menu, open Purchases. It has a page for each document type your suppliers can send:
| Document type | What it holds |
|---|---|
| Invoices | e-Invoices your suppliers issued to you |
| Credit notes | Credit notes reducing an amount a supplier billed you |
| Debit notes | Debit notes adding to an amount a supplier billed you |
| Refund notes | Refund notes for money a supplier returned to you |
Each document keeps the supplier's own document number, as the supplier submitted it. The amounts and other details are shown as the supplier declared them to LHDN.
The list columns follow the document, not you. On a purchase, Issuer/Branch is your supplier, the business that issued the e-invoice, and Customer is your own company, because you are the buyer. For example, an e-invoice from Example Supplies Sdn Bhd to your company shows Example Supplies Sdn Bhd under Issuer/Branch and your company under Customer. On the debit notes page that column is headed Supplier, but it still shows your own company.
When a purchase e-invoice arrives, JomeInvoice looks for a saved supplier with the same TIN, registration number and name. If it finds one, the e-invoice is linked to that record. If not, JomeInvoice adds the supplier to Suppliers as an approved supplier. See Suppliers.
For a tour of the screen itself, its filters and columns, see the Purchases module reference.
Statuses you will see
| What you see | What it means | What to do |
|---|---|---|
| Valid | LHDN validated the supplier's e-invoice | Nothing, unless you disagree with it. You can request a rejection within 72 hours of validation |
| Valid with a red alert icon | You have requested a rejection of this e-invoice. The icon stays on the e-invoice after the request is answered or lapses | Hover over the icon to see the reason you gave. See Request a rejection |
| Invalid | LHDN found the e-invoice invalid | Ask the supplier to correct and resubmit it |
| Cancelled | The supplier cancelled the e-invoice, including after accepting a rejection you requested | Nothing to do here. Ask the supplier for a replacement if you still expect one |
A rejection you request does not move an e-invoice to the Rejected tab. To find the e-invoices you asked to reject, switch on Show reject e-invoices.
For how these statuses fit with the rest of JomeInvoice, see Understanding invoice statuses.
Open a purchase e-invoice
- Open Purchases in the left menu, then the entry for the document type you want, for example invoices or credit notes. The summary card names the type, for example Total Purchase Invoices.
- Find the e-invoice with the search box, the status tabs, or the date range.
- Click View on its row.
The page shows every field the supplier submitted, across the Item Details, e-Invoice and Additional Information tabs. Credit, debit and refund notes also have an Offset e-Invoice tab for the e-invoice they adjust.
From the three dots menu you can:
- View/Print PDF - open a printable PDF of the e-invoice.
- Export JSON - download the e-invoice as a complete JSON file. This needs Export on your role.
Both are available while the e-invoice is Valid, including while a rejection request is waiting.
Request a rejection within 72 hours
If a supplier's e-invoice is wrong, you can ask the supplier to withdraw it. LHDN allows this only within 72 hours of the e-invoice being validated.
-
Open the purchase e-invoice.
-
Click Reject Request.
The button appears only when the e-invoice is Valid, it was validated less than 72 hours ago, no rejection has been requested for it yet, and your role has Edit on that Purchase row. On a credit, debit or refund note, the request also needs Edit on the Purchase Invoices row.
-
In Request to reject this purchase invoice?, check the supplier name next to Received from.
-
Under Reason for rejection?, explain what is wrong. The reason must be at least 10 characters and at most 300.
-
Click Submit Rejection.
JomeInvoice confirms "Rejection request submitted successfully" and sends your request to MyInvois, which notifies the supplier.
What happens next:
- While you wait, the e-invoice still shows Valid, with a red alert icon beside the status. On the e-invoice page a banner reads "The customer requested to reject this e-invoice." (you are the customer on a purchase), with your reason and a Reject window countdown.
- If the supplier accepts, they cancel the e-invoice and it changes to Cancelled. They may then issue a corrected one, which arrives as a new purchase e-invoice.
- If the supplier does not cancel within 72 hours of validation, the e-invoice stays Valid. Speak to the supplier directly; after that, the correction has to come from them as a credit, debit or refund note.
To list the e-invoices you have requested to reject, switch on Show reject e-invoices in the filter controls below the status tabs. The controls are shown by default; the filter button next to the search box hides or shows them.
Export purchase e-invoices
Exports run from Bulk Actions, at the top right of each Purchase page. You need Export on your role to see it.
| Option | What you get | How it arrives |
|---|---|---|
| Export Purchase Invoices (CSV) | A CSV of the e-invoice data | A download link by email |
| Export Purchase Invoices (JSON) | The full e-invoice data as JSON | A direct download |
| Export Purchase Invoices (AutoCount CSV) | A CSV in AutoCount's A/R document import layout | A direct download: one CSV, or a ZIP when the export covers more than one of invoices, debit notes, and credit or refund notes (credit and refund notes share one file) |
On the credit, debit and refund note pages the first two options are named for that document type, for example Export Purchase Credit Notes (CSV).
Export selected rows
Tick the rows you want, then choose an option from Bulk Actions. Only the selected e-invoices are exported, without the export window. A CSV still arrives by email.
Export by filter
With no rows ticked, choosing an option opens the export window:
- Under Invoice Type, choose the document types to include. It starts at All, which includes every purchase document type your role can export, not only the type of the page you opened it from.
- Under Date Period, choose Issue Date or Created Date, then the start and end dates. The end date is included in full.
- Narrow the export with Invoice Status if you need to. Leave Issuer/Branch and Customer on All. In this window they list your own branches and your saved customers, not your suppliers.
- Check Total Selected. The export button stays unavailable while it is 0.
- Click Export CSV, Export JSON or Export AutoCount CSV.
For a CSV export, JomeInvoice confirms "Your CSV export is being prepared. You will receive an email with the download link when it is ready." The link lasts 48 hours. See Export invoices for more on the export email.
What you cannot do in Purchases
Purchases is a record of what your suppliers submitted, so some actions belong to the supplier:
- You cannot cancel a purchase e-invoice. Only the supplier can cancel it. You can request a rejection within 72 hours.
- You cannot create a credit, debit or refund note against a purchase e-invoice. If an amount needs adjusting after 72 hours, ask the supplier to issue the note. It then arrives in Purchases like any other document.
- You cannot notify a supplier by email from a purchase e-invoice.
Troubleshooting
A supplier's e-invoice is not in Purchases
- Where you will encounter it: a supplier says they have sent an e-invoice, but you cannot find it in Purchases.
- Steps to fix:
- Check you are on the right page. Credit notes are listed separately from invoices; the summary card shows which type you are looking at, for example Total Purchase Credit Notes.
- Widen the date range. The list shows the Past 3 Months by default, by Date Created. Switch to Issue Date or a Custom Range if the e-invoice is older.
- Search by the supplier's e-invoice number or name. Remember the supplier appears under Issuer/Branch, not Customer.
- Check that the Purchase Module ERP Secret is set in Settings → Workspace Settings → API Keys & Webhooks, and that its Expiry Date has not passed. If it has, renew the credentials on the MyInvois portal and update them in JomeInvoice. See Organisation, Main HQ and branches.
- If it is still missing, contact support with the supplier's name, their e-invoice number, and the e-invoice UUID if the supplier can give it to you.
A purchase still shows Valid after the supplier cancelled it
- Where you will encounter it: the supplier tells you they cancelled an e-invoice at LHDN, but it is still Valid in Purchases.
- Steps to fix:
- Ask the supplier to confirm the cancellation went through on the MyInvois portal.
- If it did and the e-invoice still shows Valid, contact support with the e-invoice number and UUID, and say whether you had requested a rejection of it.
The Reject Request button is missing
- Where you will encounter it: on a purchase e-invoice page, there is no Reject Request button.
- What it means: at least one of the conditions for a rejection request is not met.
- Steps to fix:
- Check the status. Only a Valid e-invoice can be rejected.
- Check the Validated Date on the list. After 72 hours a rejection can no longer be requested; ask the supplier for a credit or debit note instead.
- Check whether a rejection has already been requested: look for the red alert icon or the rejection banner.
- Ask your workspace admin whether your role has Edit on the Purchase rows.
The CSV export email has not arrived
- Where you will encounter it: after Export CSV, no email has arrived.
- Steps to fix:
- Allow a few minutes for a large export.
- Check your spam or junk folder for the email.
- Export again if it still has not arrived. The export email is not listed in the Email Log; see Email Log.
The export has nothing in it
- Error message: "No documents found for the selected filters.", or Total Selected shows 0 and the export button is unavailable.
- Where you will encounter it: in the export window, or after exporting selected rows.
- Steps to fix:
- Widen the Date Period, or switch between Issue Date and Created Date.
- Clear Invoice Status, Issuer/Branch and Customer, or click Reset Filter.
- Check Invoice Type includes the type you expect.
