Purchases

Scope: How to use the Purchases pages: navigation, date controls, the summary and status breakdown, status tabs, search and filters, table columns, Bulk Actions, and the purchase e-invoice page.

Overview

The Purchases pages list the e-invoices your suppliers have submitted to LHDN with your company as the buyer. JomeInvoice downloads them from MyInvois, so you can see what you have been billed without logging in to the MyInvois portal.

Purchases is read-only in one important sense: every document on these pages was issued by a supplier. You can view, print, export, and request a rejection, but you do not create purchase documents in JomeInvoice.

Availability depends on your subscription. Before e-invoices can appear, the Purchase Module ERP Secret must be set in Settings → Workspace Settings → API Keys & Webhooks. For setup and the full workflow, including requesting a rejection, see Purchases: see the e-invoices your suppliers sent you.

Who Should Use These Pages

User Purpose
Finance and accounts payable teams Check what suppliers have billed, and export purchase e-invoices to accounting software
Procurement teams Confirm a supplier's e-invoice arrived and matches what was ordered
Users with Edit on the Purchase rows Request a rejection of an incorrect e-invoice within 72 hours
Auditors and accountants Review and export purchase e-invoices

Accessing the Purchases Pages

  1. Log in to JomeInvoice V2.
  2. In the left navigation menu, open Purchases.
  3. Select the document type: invoices, credit notes, debit notes or refund notes.

Each page shows only its own document type. The menu items you see depend on the Purchase rows of your user role. See User roles and permissions.

Page Layout

Each Purchases page has the same areas, from top to bottom:

  1. Source tab: MyInvois Portal, the only source for purchases.
  2. Date controls: the date type and the date range.
  3. Summary card: the total number of documents for the date range, for example Total Purchase Invoices.
  4. Status Breakdown: a chart and legend.
  5. Bulk Actions: the export options.
  6. Status tabs, with a count on each.
  7. Search and filter controls.
  8. The records table.
  9. Pagination controls.

Date Controls

Control What it does
Date type Choose Date Created (when the e-invoice arrived in JomeInvoice) or Issue Date (the date on the supplier's e-invoice). Date Created is the default
Date range Past 3 Months by default. Choose Custom Range to pick your own start and end dates
Reset Return the range to Past 3 Months

The summary card, the chart, the status tab counts and the table all follow the date range you choose.

Summary Card and Status Breakdown

The dark summary card shows how many documents of this type fall in the date range.

Status Breakdown splits that total into three segments, with a count and a percentage for each:

  • Valid
  • Invalid
  • Cancelled & Rejected, the two combined

The status tabs below the chart show Cancelled and Rejected separately.

Status Tabs

Tab Shows
All Every purchase document of this type in the date range
Valid Documents LHDN validated
Invalid Documents LHDN found invalid
Cancelled Documents the supplier cancelled
Rejected A rejection you request does not move a document here. To find the documents you asked to reject, use Show reject e-invoices

An e-invoice you have asked to reject keeps showing Valid, with a red alert icon next to the status. The icon stays after the request is answered or lapses. Hover over the icon to see the reason you gave. For what each status means, see Understanding invoice statuses.

Search and Filters

Use the search box to find documents by the supplier's e-invoice number or the supplier's name.

The filter controls below the status tabs are shown by default. The filter button next to the search box hides or shows them:

Control What it does
Sort Sort by Issue Date, Date Created or Validated Date, Newest First or Oldest First
Show reject e-invoices Show only the documents you have requested to reject
Reset Clear the filters

Table Columns

Column What it shows
e-Invoice Number The supplier's own document number. A sub-line shows when it arrived in JomeInvoice, for example created on 15/10/2026 02:30:00 PM
Issuer/Branch Your supplier, the business that issued the e-invoice
Customer Your own company, the buyer on the e-invoice. On the debit notes page this column is headed Supplier, but it still shows your own company
Source Where the document came from. For purchases this is always MyInvois Portal
e-Invoice UUID LHDN's unique identifier for the e-invoice. Click the copy icon to copy it
Validated Date When LHDN validated the e-invoice. The 72-hour rejection window starts here
Status The document's status
Amount The total payable, with its currency

Issuer/Branch and Customer follow the document, not you. On a purchase the supplier issued the e-invoice, so the supplier is under Issuer/Branch and your company is under Customer. This is the reverse of your Sales pages. On the debit notes page the Customer column is headed Supplier, but it still shows your own company.

Click View at the end of a row to open the document.

The pager at the bottom shows the range on screen, for example Results: 1 - 10 of 42, with 10 rows per page by default.

Bulk Actions

Bulk Actions holds the export options. It appears only if your role has Export on that Purchase row.

Option What you get
Export Purchase Invoices (CSV) A CSV of the data. The download link is emailed to you
Export Purchase Invoices (JSON) The full data as JSON, downloaded straight away
Export Purchase Invoices (AutoCount CSV) A CSV in AutoCount's A/R document import layout, downloaded straight away. Exporting more than one of invoices, debit notes, and credit or refund notes gives a ZIP; credit and refund notes share one file

On the note pages the first two options are named for that type, for example Export Purchase Debit Notes (CSV).

Tick rows in the table first to export only those rows. With nothing ticked, the option opens an export window where you choose the document types, dates and statuses. See Export purchase e-invoices.

The Purchase e-Invoice Page

Opening a document with View shows:

  • The header: the document number, its status, the total payable, and the Reject Request button when a rejection can still be requested.
  • Tabs: Item Details, e-Invoice (including the e-Invoice UUID, Issue Date, Validated Date and the LHDN URL) and Additional Information, then Source History and Email Log. A purchase invoice also has Credit Note, Debit Note and Refund Note tabs for the notes issued against it. A credit, debit or refund note shows Offset e-Invoice, the e-invoice it adjusts.
  • The three dots menu: while the document is Valid, View/Print PDF, and Export JSON if your role has Export.

When you have requested a rejection, a banner on this page shows your reason and the Reject window countdown.

Purchase documents have no cancel, credit note, debit note or refund note actions. Those belong to the supplier.
